Quoting what the crew spotted

The crew pulls a lift in October and the cable is fraying. In most shops that becomes a text to the office, then a note on a desk, then a phone call in March that nobody remembers making. Here it becomes a flag on the lift, a price from you, and a yes or no from the customer — each recorded on the piece, in order.
Flagging it, on the water
On the crew app, every piece on a stop has a way to say something is wrong with it. Pick one of three words and add a photo:
- Watch — fine for now; mention it next season.
- Soon — should be done this year.
- Unsafe — do not use it until this is fixed.
Unsafe is a record, not just a flag. It is the crew, on the day, in writing, with a photograph, saying a piece of equipment should not be used. If a customer uses it anyway, you will be glad that sentence exists with a date on it. Use the word when it applies and not otherwise — a list where everything is unsafe is a list nobody reads.
Flags queue with the rest of the crew's day and go up when the phone next has signal, like a photo or a completed item.
Pricing it, at the desk
Open Spotted in the office. Everything the crews have flagged is there, worst first. Press Quote on one, pick the service and type the price. Nothing has been sent yet — writing a price down is not the same as asking. When it reads right, press Send and the customer gets one email.
- One quote out per finding at a time. You cannot accidentally send two prices for one cable.
- The number cannot be changed after it has gone out. To change it, withdraw the quote and send another; the old link stops opening and says so plainly.
- You can also price work nobody flagged, from the Quotes list — a customer who rang about a new section, say.
The customer's answer
Their email links to one page: what you found, the price, and how long it holds. There is no account and nothing to sign in to — the link is the credential and it opens exactly one page.
- Approve is one press, and it creates the job with the right service and the right piece already on it. The customer, not you, put it on the schedule.
- No thanks opens a note first, because the reason is worth more to you than the refusal. The finding stays on the piece and can be quoted again later.
Either answer is written against the piece beside the photo that started it, so the next crew to visit knows what was found and what was decided.
It is not an estimate document
There is no PDF, no quote number and nothing to file. A shop that needs a formal estimate for a large project can still write one outside LakeOps.
